Japan Itinerary Design Service
1. About Us
These Terms and Conditions ("Agreement") govern the relationship between you ("Client", "you") and Sugimichi ("we", "us", "our"), a travel agency specialising in custom itineraries to Japan.
2. Service Overview
We offer bespoke itinerary planning services for travel to Japan. After collecting your initial travel preferences and requirements, we will begin designing your itinerary only after receiving a deductible but non-refundable deposit of £250.
3. Deposit and Payment Terms
A non-refundable deposit of £250 GBP per person is required after we collect your basic travel details and before any itinerary design work begins.
This deposit covers our time, research, and expertise in preparing your customised itinerary.
Please note: Paying the deposit initiates the itinerary design process only. We do not make any bookings until you review and validate the proposed quote.
The initial quote is subject to change depending on real-time hotel availability and currency exchange rates.
Once you approve the proposed quote, you will be required to sign a binding contract confirming your commitment to proceed with the itinerary and complete payment.
The remaining balance of the total itinerary planning and booking fee must be paid at least one month prior to your scheduled departure date. It is possible to pay in parts if you inform us in advance.
4. Refunds and Cancellations
The initial deposit is non-refundable under any circumstances once paid, including if you choose not to proceed with your trip.
If you decide to cancel our services after additional payments have been made, refund eligibility (excluding the deposit) will be considered on a case-by-case basis, depending on the stage of planning completed.
5. Scope of Service
Our service includes the design and delivery of a custom travel itinerary to Japan based on your preferences.
We do not act as a tour operator. We do not book accommodations or other services until the quote is validated and the agreement is signed.
We may recommend third-party services and providers. Any contracts or bookings with these providers are subject to their own terms and are solely your responsibility.
6. Travel Documents & Insurance
You are responsible for ensuring that all travelers have valid passports, visas (if required), and any other documentation needed to enter Japan.
We strongly recommend purchasing comprehensive travel insurance covering cancellations, medical emergencies, and trip interruptions.
7. Client Responsibility
You agree to provide accurate and timely information about your travel preferences, number of travellers, budget, and requirements.
Delays in communication or incomplete information may impact delivery timelines and itinerary quality.
8. Intellectual Property
All itineraries, documents, and materials we provide are the intellectual property of Sugimichi and are for your personal use only.
They may not be shared, copied, resold, or used commercially without our written permission.
9. Liability Disclaimer
While we strive to provide accurate and updated information, we are not liable for changes made by third-party providers (e.g. hotels) or unforeseen events affecting your trip (e.g. cancellations due to natural disasters).
We are not responsible for any losses, injuries, or damages incurred during your trip.
10. Governing Law
This Agreement shall be governed by and interpreted in accordance with the laws of the United Kingdom.
